Time zone meeting planner

Add up to four cities to see everyone's day side by side, and the hours that fall inside all of their working days.

Shared working hours for common city pairs

How much of a 9-to-5 day two cities share, on a weekday in January. Teams across the Atlantic get a few hours; teams between Europe or America and Asia often get none, and have to pick who starts early.

Making meetings across time zones work

  • Share the pain. If one city always takes the 7 AM or 9 PM slot, rotate it month by month.
  • Keep the overlap for conversation. The few shared hours are precious: use them for decisions and discussion, and move status updates to writing.
  • Send the time in every city. An invite that says “10 AM New York, 3 PM London, 8:30 PM Delhi” prevents the classic hour-off mistake. The time zone converter works out any one of them.
  • Protect your focus time too. A day of calls across zones can leave no long block for real work; block it out first.

Questions

How do I find a good meeting time across time zones?

Add each city, set the working day you want to respect, and the planner lines up everyone's hours. Bright cells are working hours in that city; the hours outlined fall inside everyone's working day, or, when none do, keep everyone out of the night.

What if there are no shared working hours?

Then someone has to meet early or late. The planner lists the hours where nobody is asleep, so the cost is an early start for one person and a late finish for another. For teams this far apart, rotating the inconvenient slot and leaning on written updates works better than a fixed daily call.

Does it handle daylight saving?

Yes. Pick the date of the meeting, and each city's offset is worked out for that day. It matters most in March, October and November, when Europe and North America change their clocks on different weekends.

Can I share the plan?

Yes: the cities, hours and date are in the page's address, so copying the link shares exactly what you see.
